New Employee Checklist

Before arrival to UCSB: 

Upon arrival to UCSB: 

Non-resident aliens only: 


Submit Employment Paperwork.
Please see Tawny Hernandez in 1347D Engineering II and bring the following:

  • Completed Employment Paperwork. 
  • Two forms of identification, such as a driver's license and social security card
  • Non-resident aliens: Please bring your passport and visa authorization

Once you have been entered into the payroll system, you will receive your employee ID number. 

Activate your UCSB NetID.
A UCSB netID is required for all employees, and is necessary to access most campus systems, including the campus purchasing system, wireless network, VPN client, and the library proxy server. 

Please create a UCSB netID by visiting the UCSB Identity Manager. To activate your netID, please wait until one business day after you have been entered into the campus payroll system. Please have your employee ID number and an email address ready. 

Complete entrance & access paperwork.

Please go to the main Materials Department office, 1355 Engineering II, to complete entrance paperwork and key card (Access Card) paperwork. 

Lab safety training.

Please visit the UC Learning Center to enroll. You will need your UCSB netID and password. Update your account by identifying your Principle Investigator: logon, click on "Profile", click on "Browse" next to "Supervisor Name," and follow the instructions to select your supervisor. To find the wanted course, use the search function by entering "LS 01" or "LS 60". 

Additional lab specific training will need to be conducted by the development engineer/lab manager of that lab. Please contact the lab manager to arrange a date and time. 

Questions on purchasing.

Please see Jennifer Nguyen in 1355B Engineering II for questions on purchasing codes. Please note that recharge codes provided on research funding should be used to purchase research supplies only. Please do not use these codes to purchase office supplies. 

Non-resident aliens only: Report to Office of International Students and Scholars.

Non-resident aliens on J1 status are required to report in person to the front desk of the Office of International Students and Scholars (OISS), located in the Student Resources Building, room 3130. Please note that OISS must see you in person with your passport, I-94 card, and DS-2019 form in order to validate your status in SEVIS. 

Non-resident aliens only: Register on GLACIER. 

GLACIER is a campus system used for determining tax residency, withholding rates, and income treaty eligibility for non-resident aliens. Once you are entered into the payroll system, you will receive an email with login information for the GLACIER system. Please follow the instructions and complete the required forms. 

Non-resident aliens only: How to obtain a Social Security card

You should wait approximately 10 days after you enter the U.S. to request a Social Security card. Visit OISS for the local Social Security Adminstration address and for detailed information on how to obtain a Social Security card. 

Other items to complete:

Register for benefits - very important.

Postdoctoral scholars are eligible for enrollment in University health insurance programs which include medical, dental, and vision insurance. Check with Postdoctoral Scholar Benefits for complete information. 

You will enroll in health insurance once you have arrived to UCSB and have been formally entered into our payroll system. Enrollment must be completed within 31 days of your employment start date. Any medical costs incurred in the period between your employment date and your enrollment date (within the 31-day Period of Initial Eligibility (PIE)), will be covered.

Other useful information:
At Your Service: 

At Your Service allows you to view employment information, including your health insurance enrollment details and earnings statements. To create an account, follow the "Sign into My Accounts" link and identify yourself as a new user. As a new employee, you may use your social security number and your birth date as a temporary password (in the format mmddyyyy) to login and set up an account. This must be done within 31 days of employment, or the temporary password is reset.

Access to the library.

For access to the UCSB Library, please take your Access Card to the Davidson Library Circulation Desk and complete an application. 

Parking permit information. 

Once your appointment is active in PPS, you may purchase a parking permit at the Parking Services Office

The Transportation Alternatives Program offers alternative commuting options for UCSB employees, including reduced-cost carpool permits and discounted bus passes. 

UCSB Recreation Center.

The UCSB Recreation Center provides information on membership and available classes.
